BOOKKEEPER
 

Reports To:  Executive Director

​

Salary Range:  $24,000 - Days and times will be determined after further discussion

​

Purpose:  To serve the ministry and staff by providing bookkeeping and accounting duties to the organization

 

The ideal candidate will be well organized and comfortable dealing with financial data. This individual will be responsible for overseeing the accounts payable and receivable, processing payroll and conducting other tasks related to finance. They should be excellent at recording data and have an ability to produce clear financial reports. 

 

Primary Duties and Responsibilities:
 

  1. Purchase supplies and equipment as authorized by management – including monitoring office supply levels and reorder as necessary.

  2. All duties related to accounts payable and accounts receivable. Pay supplier invoices in a timely manner, pay any debt as it comes due for payment, issue invoices to customers, ensure that receivables are collected promptly, etc.

  3. Handle donations to Whiz Kids. Enter donations into Whiz Kids’ donor database and issue donor letters. Maintain high level of confidentiality.

  4. Record cash receipts and make bank deposits.

  5. Conduct a monthly reconciliation of every bank account and periodic reconciliations of all accounts to ensure their accuracy.

  6. Maintain the petty cash fund.

  7. Issue financial statements.

  8. Provide information to the external accountant who creates the company’s form 990.

  9. Assemble information for external auditors for the annual audit.

  10. Maintain an orderly accounting filing system.

  11. Maintain the chart of accounts.

  12. Maintain the annual budget.

  13. Comply with local, state, and federal government reporting requirements.

  14. Process payroll in a timely manner.

  15. Work with postage machine to ensure proper functioning and funds are maintained and that All Copy has monthly page counts.

 

Qualifications
 

  • 3+ years of experience in related field

  • Proficient in Microsoft Office suite and QuickBooks

  • Strong organizational and analytical skills

  • Detail oriented

  • Team oriented

FIELD DIRECTOR - LAKEWOOD
 

Reports To:  Executive Director

​

Salary Range:  $24,000 - $27,000
 

The Field Director position works part-time. This includes attending the weekly staff meeting (Tuesdays) and holding an additional office day per week. The Field Director’s main responsibility is ensuring that the Whiz Kids Program is administered with fidelity at each of the sites he/she oversees. The position requires flexibility, strong relational and organizational skills and a high level of initiative. Field Directors must be able to communicate effectively and work just as well in a team as independently. Some of the Field Director’s work takes place in the late afternoons and/or evening and on weekends.

 

Primary Responsibilities:
 

  1. BUILD/MAINTAIN RELATIONSHIPS

    • With host sites – Give quarterly updates as requested

    • With partnering schools/churches – Give quarterly updates as requested

    • With leadership teams at each site – Caring for and appreciating them as well as providing help and support when needed

    • Weekly communication/check-ins with Site Coordinators
       

  2. TUTORING SITES

    • Support and maintain healthy tutoring sites

      • Average of 12 matches with goal of 15

    • Visit each assigned site at least once per month or more as needed

    • Serve as a sub for your Coordinators/Club Leaders when needed

    • Fill the Coordinator or Club Leader role until you can find a volunteer to fill this role
       

  3. VOLUNTEER RELATIONS

    • Develop and maintain relationships with the Coordinators, Club Leaders, School Liaisons and Tutors to maintain strength and quality of the overall program

    • Encourage tutors at sites
       

  4. RECRUITING
    • Communicate with churches to schedule recruiting dates

    • Attend recruiting and follow up with interested tutors

    • Secure Coordinators, Club Leaders, and Liaison Teachers for your sites as needed

    • Potential new partnerships with schools and churches in your area
       

  5. TRAINING
    • Conduct new tutor Orientation & Training

    • Assist with Club Leader and Coordinator meetings/trainings

    • Track training completion for each volunteer at your sites
       

  6. ADMINSTRATIVE WORK

    • Participate and help prepare for volunteer meetings and special events

    • Database maintenance and office responsibilities

    • Submit monthly site reports

    • Administer evaluations

    • Serve on various task forces, assist with various tasks as needed
       

  7.  FUNDRAISING
    • Promote and participate in organizational wide fundraising efforts
